OrgSense respects the privacy of the organisations and individuals who use our services. This policy explains how we collect, use, store, protect, and disclose information across our website, platform, surveys, dashboards, reports, and consulting. Because our work touches employee perceptions, engagement, burnout, and well-being, we treat privacy and confidentiality as central, not incidental.

- administer employee surveys and organisational assessments;
- generate aggregated reports, dashboards, and insights;

- manage client accounts, subscriptions, billing, and support;
- communicate with clients and prospective clients;
- improve website performance, user experience, and service design;
- maintain security, prevent misuse, and troubleshoot technical issues;

Employee Confidentiality & Aggregated Reporting
OrgSense is designed to help organisations understand workforce patterns without exposing individual employees unnecessarily.
Unless expressly agreed otherwise in writing, results are reported in aggregated form. We do not hand clients individual-level responses that directly identify a specific employee.
The only exceptions are where this is required by law, necessary to investigate misuse, or explicitly covered by a separate written agreement. To reduce the risk of identification, OrgSense may apply minimum reporting thresholds before displaying results for small teams, departments, or demographic groups. Where a group is too small, results may be combined with a larger group or withheld from dashboard reporting.
Open-ended comments may contain identifying information voluntarily provided by respondents. OrgSense may moderate, summarise, redact, or aggregate qualitative comments where appropriate to reduce identifiability and protect confidentiality.
Legal Basis & Responsible Processing
OrgSense processes information for legitimate business, contractual, research, service delivery, and organisational improvement purposes. Where required, we rely on consent, contractual necessity, legitimate interests, legal obligations, or another lawful basis recognised by applicable law.
For employee survey projects, the client organisation generally determines the purpose of the assessment, while OrgSense provides the platform, analytics, reporting, and advisory services. Depending on the engagement, OrgSense may act as a service provider, data processor, independent controller, or joint controller. Under GDPR-style frameworks, a controller determines why and how personal data is processed, while a processor processes it on behalf of the controller. The exact role should be addressed in the relevant client agreement or data processing agreement.
Sensitive Information
OrgSense may collect information related to workplace well-being, burnout, stress, psychological safety, engagement, and employee experiences. These data can be sensitive in context, so we seek to minimise collection of unnecessary personal information and focus on aggregated organisational insight.
Clients should not instruct employees to submit medical diagnoses, highly personal health information, financial details, identification numbers, or other unnecessary sensitive personal information through OrgSense surveys, unless this has been expressly agreed in writing and appropriate safeguards have been implemented.
Sharing of Information
We may share information with:
- authorised OrgSense personnel and consultants who need access to deliver services;
- trusted technology, hosting, analytics, payment, and support providers;
- client organisations, in aggregated or agreed reporting formats;
- legal, regulatory, or public authorities where required by law;
- professional advisers, such as accountants, lawyers, insurers, or auditors;
- successors or assignees in a merger, acquisition, restructuring, or sale of business assets.
We do not sell employee survey data.
Data Security
We use reasonable administrative, technical, and organisational safeguards to protect information against unauthorised access, loss, misuse, alteration, or disclosure. These may include access controls, password protection, encryption where appropriate, secure hosting, limited access permissions, and internal confidentiality practices.
No digital platform can guarantee absolute security. Clients and users are responsible for protecting their login credentials and notifying OrgSense promptly of any suspected unauthorised access.
Data Retention
We retain personal information and survey data only for as long as reasonably necessary to provide services, meet contractual obligations, support reporting and analysis, comply with legal obligations, resolve disputes, and maintain business records.
Retention periods may vary depending on the type of information, the client agreement, legal requirements, and the purpose for which the information was collected.
International Data Transfers
OrgSense may use cloud-based service providers or technology partners located outside Trinidad and Tobago. Where information is transferred or stored internationally, we take reasonable steps to ensure that appropriate safeguards are in place.
Cookies & Website Analytics
Our website may use cookies, analytics tools, and similar technologies to understand website traffic, improve user experience, remember preferences, and support marketing or service improvement. Where OrgSense processes employee survey data on behalf of a client organisation, employee requests may need to be directed to the relevant employer or client organisation. OrgSense will support reasonable and lawful requests in line with applicable agreements and legal obligations.
Children's Privacy
OrgSense is intended for workplace and organisational use. Our services are not directed to children, and we do not knowingly collect personal information from children through our business services.

We may update this Privacy Policy from time to time. Updated versions will be posted on our website with a revised effective date. Continued use of our website or services after an update means that the revised policy applies.
